Xtactic stores the tactics, teams and rosters you create so you can work across devices and share with your staff. This policy explains exactly what we collect, why, and how you stay in control.

01Who we are and what this covers

Xtactic is a coaching tool for designing, animating and sharing set plays in football, basketball, futsal and handball. It is operated by Xtactic LLC, United Arab Emirates (“Xtactic”, “we”, “us”).

This Privacy Policy explains what information we collect when you use the Xtactic app on iOS, iPadOS, Android, macOS or the web (the “App”), and when you visit this website (the “Site”). Together we call them the “Service”. It also explains the choices you have.

This policy should be read with our Terms of Use and Cookie Policy. If you do not agree, please do not use the Service.

02Information we collect

We only collect what the App needs to work. Most of it is content you create as a coach.

Information you provide

ACCOUNT

Your email address, a password (or a Google or Apple sign-in identity), a display name and an optional nickname (your @handle) used by other coaches to share content with you.

COACHING CONTENT

Workspaces, teams (names, kit colours, logos, venues), rosters, tactics and animations, notes and tags, match set-ups, custom field images and calibration data, and comments on shared content.

PLAYER DETAILS

Information you enter about players on your rosters, which may include name, nickname, shirt number, position, height, weight, preferred foot, date of birth and a photo.

OPTIONAL INTEGRATIONS

If you connect a third-party sports-data provider to import fixtures or rosters, we store the API key you give us so we can make those requests on your behalf.

Information collected automatically

  • Device and licence data — a per-installation identifier, device name and model, app version and platform, used to enforce seat and device limits on your subscription. When a licence is renewed we may record the IP address of the request to detect abuse.
  • Push notification tokens — if you allow notifications, a device token, platform and locale so we can tell you when someone shares a tactic with you or comments on your work.
  • Sync and service logs — technical records needed to keep your content in sync across devices and to keep the Service secure and reliable.

Purchases

Subscriptions are bought through the Apple App Store or Google Play. We receive a subscription status and a purchase identifier linked to your account, so we can unlock your seats. We never receive or store your card or bank details. Apple and Google handle payment under their own privacy policies.

What we do not collect

  • No precise location or GPS data.
  • No microphone or audio recording.
  • No advertising identifiers, ad networks or cross-app tracking.
  • No third-party analytics or crash-reporting profiles in the App.

The App may ask for access to your photo library so you can add player photos, team logos and custom pitch images. Photos you choose are uploaded to your workspace; we do not scan the rest of your library.

03How we use information

  • To run the Service — create and secure your account, store and sync your content across devices, and render your tactics and animations.
  • To power collaboration — let you invite people to a workspace, share tactics and matches with other coaches by nickname, co-edit a tactic live and receive comments and notifications.
  • To manage subscriptions — verify entitlements from Apple and Google, allocate coach seats and enforce device limits.
  • To support you — respond when you contact support@xtactic.app.
  • To protect the Service — prevent fraud, abuse and misuse, and comply with legal obligations.
  • To communicate — send account emails such as sign-in confirmation, password resets and important notices about the Service. We do not send marketing emails unless you opt in.

We do not sell your information and we do not use your coaching content to build advertising profiles.

04How information is shared

With other coaches, when you choose to

Xtactic is built for teams. When you add someone to a workspace, share a tactic or match with them, or send a copy of a tactic to their workspace, that person can see the content you shared, your display name and your nickname. Shared field images and player details inside a shared tactic become visible to the recipient. You are in control of who you invite and what you share.

With service providers

We rely on a small number of providers who process data on our behalf and only as instructed:

  • Supabase — authentication, database, file storage, realtime sync and server functions that host your account and content.
  • Apple and Google — sign in with Apple, Google sign-in, and App Store or Google Play billing.
  • RevenueCat — subscription management that links store purchases to your account.
  • Firebase Cloud Messaging — delivery of push notifications only. Firebase analytics and advertising features are turned off.
  • Sports-data providers you connect — if you add your own API key, your import requests are forwarded to that provider under its terms.

For legal and safety reasons

We may disclose information if required by law or a valid legal request, to protect the rights, property or safety of Xtactic, our users or the public, or to investigate fraud or security issues.

Business transfers

If Xtactic LLC is involved in a merger, acquisition or sale of assets, your information may be transferred as part of that transaction. We will notify you through the App or this Site of any change in ownership or in how your information is used.

05Where your data lives

The App is offline-first on iOS, Android and macOS: your content is stored on your device and synchronised with our cloud when you are signed in and online. On the web, content is loaded from the cloud and the App works online only.

Our cloud infrastructure is provided by the service providers listed above and may be located outside your country, including in the European Union and the United States. Wherever your data is processed, we apply the safeguards described in this policy and require our providers to protect it appropriately.

06Data retention and deletion

We keep your account and content for as long as your account is active so the Service can work as you expect.

Deleting your account

You can delete your account from Settings → Delete account in the App while online, or follow the steps on our account deletion page. When you do:

  • Teams, players, tactics, matches and field images in your personal workspace are marked for deletion and permanently removed after a short retention window (currently about 30 days), which allows recovery from accidental deletion and lets other devices finish syncing.
  • Shares you sent or received are revoked, push notification tokens are removed and your device licences are released.
  • Your profile is anonymised so other coaches no longer see your name.
  • Content you contributed to a shared team workspace owned by someone else stays with that workspace, because it belongs to that team.

To have remaining account records, including your sign-in credentials, permanently erased, or if you cannot access the App, use the account deletion page or email support@xtactic.app from the address on your account and we will complete the request within a reasonable time. We may retain limited information where required by law, to resolve disputes or to enforce our agreements.

Uninstalling the App removes local data from that device but does not delete your account.

07Your choices and rights

  • Access and correction — you can view and edit your profile and content in the App at any time.
  • Portability — you can export tactics as images, PDFs and videos from the App.
  • Notifications — you can turn push notifications off in your device settings.
  • Sharing — you can revoke shares and leave or remove people from workspaces you manage.
  • Deletion — as described above.

Depending on where you live, you may have additional rights under local law, such as the right to object to or restrict certain processing, or to complain to a supervisory authority. To exercise any right, contact support@xtactic.app. We may need to verify your identity before acting on a request.

08Children and player data

Xtactic is made for coaches and coaching staff and is not directed at children. We do not knowingly create accounts for anyone under 13 (or the minimum age in your country). If you believe a child has created an account, contact support@xtactic.app and we will remove it.

Coaches often work with youth teams. If you add players who are minors to a roster, you are responsible for having the appropriate permission from the player, their parent or guardian, or your club, and for entering only the details you genuinely need. Player data is visible only to the people you share it with.

09Security

We protect your information with access controls that scope every record to its workspace, encryption in transit, private storage for uploaded images, and limited access for the people who operate the Service. Sign-in with Apple and Google means we never see those passwords.

No system is completely secure. If you believe your account has been compromised, change your password and contact support@xtactic.app.

10This website

The Site is a marketing and information site. It does not require an account and does not currently process payments. The interactive playground runs entirely in your browser.

We use strictly necessary storage to run and secure the Site and to remember your cookie choice. Our hosting provider may keep short technical logs (such as IP address, browser type and the page requested) to operate and protect the Site.

We use Google Analytics 4 with Google’s advanced consent mode. If you accept analytics cookies, Google can set cookies such as _ga and measure pages viewed, approximate location derived from IP, device and browser type, and referral source. If you refuse, no analytics cookies are set. The Google tag still loads so Google can receive cookieless pings and model aggregated traffic. Advertising, ads personalization and ads user-data storage stay denied. Google processes this as our provider and may store it outside your country, including in the United States. You can change your mind at any time in the Cookie Policy.

We do not use advertising, remarketing or social-media pixels on the Site. If we add those, we will update this policy and ask for a separate consent.

11Changes to this policy

We may update this policy as the Service evolves. We will post the new version on this page with a new effective date and, for significant changes, notify you in the App or by email. Continued use of the Service after a change means you accept the updated policy.
